Continuation of CollegeApply.com Demonstration

The following explanation and pages relate to the Univers for Windows "Editor". This module resides on the college's administrative software server. The Editor, as explained in the following, allows the Admissions staff at the college/university to view, edit, save and importantly, to "write" the data into the Admissions and Student Records modules -- without re-keying the data that was initially entered by the prospect on the Admission Application web pages (see previous demo pages).

CollegeApply Editor--Name Screen

The Name screen in CollegeApply is very similar to the Admissions module Name screen in Univers for Windows 1.03. The differences are: Tracking Number, the Upload Status display field and the Reject check box. The Tracking Number is the number assigned to the applicant's online application (also used in credit card payment processing). The Reject check box, if checked, will display "Rejected" in the Upload Status display field. This applicant cannot be uploaded to Admissions until the box is unchecked. The Upload Status may also display "Attempted" and "Posted". If "Attempted" appears, an attempt was made to upload this applicant to Admissions but was not completed because of missing or invalid information. If "Posted" appears, then the applicant was successfully uploaded to Admissions. The Printer icon prints the current screen information in text format (for example, Country: USA). There is a new Print option in the View menu drop down. Selecting this Print option will print ALL of the pages in text format associated with the current applicant. Title, States and Country labels are green, denoting them as browse-able.

Demo1 Screen

The Demographic1 screen is self-explanatory. Information entered on the online application will appear in the related fields. Ethnic Code, Marital Status, and other labels that are green, indicate that they are browse-able (that is, the various codes and code translations can be viewed under either the "Code" or "Desc" icons).

Demo2 Screen

The Demo2 screen is the first to display extra information from the CollegeApply.com online application that does not have a related field to store or display in Univers for Windows Admissions. The "High School Info" frame with its three fields "HS Phone", HS Advisor, and "Honors" is extra information that this university has chosen to display here. This frame label and the field labels appear in black, denoting them as extra fields. Black labels can be changed by the system administrator, or whomever has permissions, in "Extra Field Setup". The High School Starting M./Yr: is not in Univers for Windows and thus is not uploaded to Admissions. The High School Code and the Interests labels are green, denoting them as browse-able.

Apply Screen

The Apply screen also displays extra information from the CollegeApply.com online application. This set up utilized the available frame as "Scholarship" School and Amount, with frame and labels shown in black (editable). The Application Fee Paid drop down has two entries: "Mailed Check" and "Credit Card" that inform the staff how the applicant elected to pay their fee. When uploaded to Admissions these entries are automatically changed to "No" since the fee cannot be confirmed as paid until a check is received or confirmation from the Credit Card Company is received. The Term, Session, Major #1, College #1, Special #1, Track #1, Major #2, Col #2, Minor, Entry Code and Class labels are green, denoting them as browse-able.

Test Screen

The Test screen has an extra information frame providing for twelve additional fields of information. This frame has been labeled "Placement Tests", with individual test names, with the white fields providing the space for individual test scores.

Trans Screen

The Trans screen shows Transfer College information. Because no actual transcripts are received yet, this is treated as "info only" and not uploaded to Admissions. The FICE and Degree labels are green, denoting them as browse-able.

Info1 Screen

The Additional Information1 screen, as well as Info2, 3 and 4, display additional/extra information not stored in existing Univers for Windows modules. The black field labels are editable, but not the blue frame label ("Extra Information 1"). The field labels will display between 17 to 20 characters depending on the size of the characters themselves. (For example, a "W" will take up more room than an "I" will.) All the extra entry fields can have a maximum of 40 characters but can be set to a smaller number in the Extra Field Setup.

Essay Screens

The Essay screen stores and displays all of the "written response" entries on CollegeApply.com that would be greater than 40 characters. CollegeApply provides for two long essays (@ 500 words) and twelve short "essays"/written responses (@ 60 words). The two longer essays are always the first two items in the Text View list box, followed by the twelve shorter "essay responses". The particular order of the two and then the twelve can be established by the school in conjunction with EDC but once established, the order remains fixed. However, the titles of the essays shown in the Text View drop down are editable.

Posting to Admissions

To add an applicant to Univers for Windows Admissions from CollegeApply, a job must be run within Univers Report Processing. This job is virtually identical to others that are run in Univers. You have a choice of posting individual applicants or posting a group. You are asked to enter certain default information that will be posted to the Admissions file only if the information does not already exist, or is invalid in the applicant's record in CollegeApply. This job produces a report that lists applicants that were successfully posted into the Admissions file and applicants that were omitted, along with the reason the application was not posted. Applicants are usually omitted because they are missing information that is required for them to be entered in the Admissions file in Univers. You may then go to the CollegeApply editor and enter this information using the report as a guide and re-run the job to add the application. Applications remain in CollegeApply for viewing, even after they have been posted, until they are manually purged.
